§ 1. Nature of the Rules and Regulations

1. These Rules and Regulations set out the basic public rules governing the 2026 edition of The Venus Academy, in particular the rules for submitting nominations, conducting substantive assessments, obtaining Nominee status, and awarding The Venus Academy Quality Standard Certificate and Quality Awards.

2. These Rules and Regulations are general and informational in nature. The detailed terms of paid cooperation, the scope of services, the schedule, fees, the number of copies of the Venus Album, the number of invitations to the Venus Gala, the rules governing publication, approval of materials, use of likeness, and settlements shall be determined individually in a separate Participation Agreement concluded with the Organiser.

3. The submission of a nomination, formal verification and the substantive assessment conducted by the Jury are free of charge.

4. Only publication, communication, marketing and image-building, organisational, and other services individually agreed with the Organiser in the Participation Agreement may be subject to a fee.

5. A fee payable under the Participation Agreement is not a fee for a positive assessment, a Jury Recommendation, the Quality Standard Certificate, Laureate status, or a Quality Award conferred by The Venus Academy.

 

§ 2. Nature of The Venus Academy

1. The Venus Academy 2026 is a year-round expert and educational, thought-leadership, nomination, publishing and communications project culminating in the Venus Gala.

2. The Venus Academy is not a conventional congress, conference, popularity contest, or ranking based on the number of nominations, votes, followers, audience reach, or promotional activity.

3. The purpose of The Venus Academy is to promote quality, safety, ethics, professionalism, responsible communication, patients' rights, expert knowledge and good practices in the fields of aesthetic medicine, anti-ageing, longevity and related areas.

4. The Project is expert-led and industry-focused. The assessment concerns the Candidate's actual achievements, operating standards, credibility, quality, safety, responsibility and contribution to the development of the areas covered by The Venus Academy.

 

§ 3. Candidates and Nominations

1. The following may, in particular, be nominated for The Venus Academy 2026:

a) physicians, specialists, experts, scientists and educators;

b) clinics, practices, facilities, teams, institutions and organisations;

c) brands, manufacturers and distributors;

d) products, technologies, devices, programmes, projects or solutions related to the scope of The Venus Academy.

2. A nomination may be submitted by the Candidate or by a third party in the form of a professional community recommendation, using a form or another channel designated by the Organiser.

3. A nomination submitted by a third party does not constitute the Candidate's automatic consent to participate in the Project. The Organiser may contact the Candidate to confirm their interest in participating and to obtain the necessary information.

4. The Candidate should operate in compliance with the law and hold the qualifications, authorisations, permits, documentation or other legal grounds required for the activities they conduct, where applicable.

5. The Candidate is responsible for the truthfulness, currency and completeness of the information provided to the Organiser.

6. Nomination materials should not contain data or images of patients that would enable their identification unless an appropriate legal basis exists and the Organiser has expressly permitted their submission. As a general rule, case descriptions should be anonymised.

 

§ 4. Verification and Assessment by the Jury

1. The Organiser may conduct a formal verification of the nomination, including, in particular, the completeness of the information, the nomination's compliance with the scope of the Project, and basic information concerning the Candidate.

2. Formal verification is not a qualitative assessment and does not replace a decision of the Jury.

3. A nomination qualified for assessment may be submitted to The Venus Academy Jury.

4. The Jury is an independent panel of experts appointed to assess nominations within The Venus Academy.

5. The Organiser provides organisational support for the Project but does not influence the individual substantive assessments made by the Jury.

6. The Jury's assessment may take into account, in particular, quality, safety, qualifications, experience, ethics, responsibility, legal compliance, reliability of communications, educational value, innovation, and the significance of the Candidate's achievements for the development of the industry.

7. The Jury may:

a) issue a positive Recommendation;

b) decline to issue a Recommendation;

c) propose assessment in a different category;

d) decline to award the Certificate or an Award;

e) grant an additional distinction where it considers this justified.

8. The substantive decisions of the Jury are independent and final.

 

§ 5. Recommendation, Nominee Status and the Participation Agreement

1. A positive outcome of the Jury's assessment means that a Recommendation has been issued and that the Candidate may be invited to continue participating in the Project.

2. A Jury Recommendation does not create an obligation to conclude a Participation Agreement or to incur any fees.

3. Nominee status is obtained by a Candidate who:

a) has received a Jury Recommendation;

b) has accepted the invitation to continue participating;

c) has concluded a Participation Agreement with the Organiser, where the subsequent stage of participation includes paid services.

4. Failure to conclude a Participation Agreement constitutes withdrawal from the subsequent paid stage of the Project and does not affect the independent nature of the Jury's earlier assessment.

5. The detailed rules governing a Nominee's participation in publication, communication, marketing and image-building, organisational, editorial and gala-related activities shall be set out in the Participation Agreement.

 

§ 6. Quality Standard Certificate

1. The Venus Academy 2026 Quality Standard Certificate is a private expert industry distinction awarded within the Project.

2. The decision to award the Certificate is made by the Jury on the basis of a substantive assessment.

3. The Certificate is not an administrative decision, state accreditation, a licence to conduct business or professional activity, an authorisation to place a product on the market, a certificate required by law, or a substitute for any registration, marking, permit or documentation required for the Candidate's products, services, technologies or activities.

4. The rules governing the use of the Certificate, mark, title, designation or information concerning the distinction shall be determined by the Organiser and, in detail, by the Participation Agreement or separate guidelines provided to the Nominee.

5. A Nominee may not use the Certificate, title, name or designation of The Venus Academy in a misleading manner, in a way that suggests a broader scope of distinction than was actually awarded, or in a way that suggests any guarantee of efficacy, safety, quality or legal compliance beyond the content of the distinction granted.

 

§ 7. The Venus Academy Quality Awards

1. The Jury may grant The Venus Academy 2026 Quality Awards to selected Nominees.

2. A Laureate of a Quality Award may receive the Venus Statuette, a Laureate certificate, and the right to use the title "Laureate of The Venus Academy 2026 Quality Awards" in accordance with the rules specified by the Organiser.

3. The award of the Quality Standard Certificate does not guarantee receipt of a Quality Award.

4. The Jury may decide not to grant an Award in a given category if it determines that no nomination meets the standard warranting the distinction.

5. The results concerning Laureates shall remain confidential until their official announcement, generally during the Venus Gala.

 

§ 8. Partners, Sponsors and Independence of Assessment

1. Partners, sponsors, advertisers, clients of the Organiser, and entities cooperating with the Organiser are subject to the same assessment rules as all other Candidates.

2. The status of a partner, sponsor, advertiser, client or entity cooperating with the Organiser does not guarantee a positive assessment, a Jury Recommendation, the Certificate, Nominee status, Laureate status, or a Quality Award.

3. Partners, sponsors, advertisers and clients of the Organiser may not influence the Jury's decisions or obtain information about individual assessments before their official announcement.

4. Honorary, industry or media patronage of the Project does not mean that the patron participates in the assessment of nominations, recommends specific persons, entities, products or services, or guarantees the award of the Certificate or an Award.

 

§ 9. Venus Album, Communications and Venus Gala

1. The Venus Album, communications activities and the Venus Gala are components of the Project whose detailed scope shall be determined individually in the Participation Agreement.

2. Participation in the Venus Album may include the preparation and publication of a presentation of the Nominee, their achievements, standards, experience, good practices, or other content agreed with the Organiser.

3. The scope of publication, number of pages, presentation format, number of Album copies, approval rules, deadlines for submitting materials, number of revision rounds, and scope of additional services shall be specified in the Participation Agreement or in a schedule provided to the Nominee.

4. The Venus Gala is the ceremonial, media-focused culmination of the Project. The detailed rules governing participation in the Gala, the number of invitations, the scope of exposure, and any additional services shall be set out in the Participation Agreement.

5. The absence of a Nominee or Laureate from the Gala does not affect the validity of the Certificate, the assessment outcome, or the granting of an Award, unless the Participation Agreement provides otherwise with respect to organisational services or settlements.

6. The Organiser may change the date, venue, programme or format of the Gala for important organisational, legal, technical or safety reasons, or for reasons beyond the Organiser's control. The consequences of such changes for paid services shall be governed by the Participation Agreement and applicable law.

 

§ 10. Materials, Likeness and Responsibility for Content

1. The Candidate or Nominee is responsible for the truthfulness of the information, descriptions, data, materials, photographs, logos, recordings and other content provided to the Organiser.

2. The Candidate or Nominee should hold the rights, consents, licences or other legal grounds necessary to provide the Organiser with materials used in the Project.

3. The Organiser may refuse to publish or use content that is unlawful, unreliable, unethical, infringes the rights of third parties, is misleading, or is contrary to the nature of The Venus Academy.

4. The scope of the licence for materials and the rules governing the use of likeness, voice, statements, logos, trademarks and other designations shall be set out in the Participation Agreement or separate documents.

5. The mere submission of a nomination does not constitute the grant to the Organiser of unlimited consent to publish the Candidate's likeness, voice, materials or designations.

 

§ 11. Termination of Participation, Suspension or Withdrawal of a Distinction

1. The Organiser may suspend services, refuse publication, terminate the Candidate's or Nominee's further participation, or refer the matter to the Jury where circumstances arise that may affect the credibility of participation in the Project.

2. This applies in particular to:

a) the provision of false, outdated or misleading information;

b) failure to provide the cooperation required by the Organiser;

c) infringement of third-party rights;

d) violation of ethical principles, the law or good practices;

e) unauthorised use of the name, marks, titles or materials of The Venus Academy;

f) actions that may harm the reputation of The Venus Academy, the Organiser, the Jury or other participants in the Project;

g) a material breach of these Rules and Regulations or the Participation Agreement.

3. If, after a Recommendation has been issued or the Certificate or an Award has been granted, credible information emerges that calls the basis of the assessment into question, the Organiser may refer the matter to the Jury.

4. The decision to maintain, suspend or withdraw a substantive distinction shall be made by the Jury.

5. Withdrawal of the Certificate or an Award results in the loss of the right to continue using the relevant title, mark, designation or materials evidencing the distinction.

6. The rules governing the settlement of paid services shall be determined by the Participation Agreement and applicable law.

 

§ 12. Protection of the Concept, Know-how and Intellectual Property

1. The Venus Academy, the Venus Gala, The Venus Academy Quality Awards, the Venus Statuette, The Venus Academy Quality Standard Certificate, the Project concept, activity structure, communications model, visual identity, materials, names, designations, formats, and organisational, editorial and communications solutions constitute the intellectual property, know-how or legally protected interests of the Organiser.

2. Publication of these Rules and Regulations, the conduct of discussions, submission of an offer, participation in negotiations, provision of informational materials, or an invitation to cooperate does not constitute the transfer of any rights, the grant of a licence, or consent to copy, reproduce, modify, adapt or use The Venus Academy concept outside cooperation with the Organiser.

3. It is prohibited to use the name, concept, model, structure, designations, materials, organisational, editorial or communications solutions, or other elements of The Venus Academy for the purpose of creating a competing, similar or confusingly similar project without the Organiser's prior written consent.

4. It is prohibited to suggest an association with The Venus Academy, the Venus Gala, The Venus Academy Quality Awards, the Jury or the Organiser without a basis arising from the Participation Agreement or the Organiser's separate written consent.

5. The Organiser reserves the right to protect its rights, reputation, know-how and business interests in the event of any unauthorised copying, use or imitation of the Project.

 

§ 13. Personal Data and Complaints

1. The controller of personal data processed in connection with the Project is Pharma Medical House Sp. z o.o.

2. The detailed rules governing the processing of personal data are set out in the current Privacy Policy published on The Venus Academy website.

3. Consent to receive marketing information concerning the Organiser's other projects is voluntary and is not a condition for submitting a nomination, assessing a nomination, or concluding a Participation Agreement.

4. Complaints concerning the nomination process, the implementation of Project activities, or the application of these Rules and Regulations may be submitted to: biuro@pharmamedical.pl.

5. The Organiser shall respond to a complaint within 14 days of receiving a complete complaint.

6. The substantive decisions of the Jury are not subject to appeal. However, an obvious formal or factual error, or a circumstance that may be relevant to the impartiality of the procedure, may be reported.

 

§ 14. Schedule, Amendments and Final Provisions

1. Nominations for The Venus Academy 2026 shall be accepted within the time limits and through the channels specified by the Organiser.

2. The Organiser may publish information on The Venus Academy website concerning the call for nominations, categories, deadlines, Project communications, the Venus Album and the Venus Gala.

3. The detailed schedule for a Nominee's participation, deadlines for submitting materials, approval deadlines, payment deadlines, and other organisational terms shall be specified in the Participation Agreement or in information provided individually by the Organiser.

4. The Organiser may update the schedule, categories, manner of presentation, programme of activities, format of the Venus Album, or organisation of the Venus Gala for important reasons, while preserving the independence of the Jury and the rights arising from concluded Participation Agreements.

5. The current version of these Rules and Regulations shall be published at www.akademiawenus.pl together with their effective date.

6. The Organiser may retain archived versions of these Rules and Regulations in a manner that makes it possible to determine the rules applicable to a given nomination or Participation Agreement.

7. These Rules and Regulations enter into force on the date of their publication on The Venus Academy website and apply to nominations submitted from that date.

8. Participation Agreements concluded earlier shall be governed by the terms accepted when they were concluded, unless the parties agree otherwise.

9. These Rules and Regulations shall remain in force throughout the implementation and settlement of the 2026 edition, including in relation to activities performed after the end of the calendar year where they remain connected with that edition.
